Getting a copy, or having it deleted

Both are requests you make to us rather than buttons in the dashboard. Wiping a server is irreversible and takes one click to get wrong, so it is deliberately not something a single account can trigger on its own. Ask us and we will action it: a full export covers every ticket, category, panel, form, workflow, knowledge base article and transcript record for the server, and a deletion removes:

• Every ticket, message record, note, tag and rating.
• Legacy transcript records and share links kept from earlier releases.
• Every panel, form, category, workflow and SLA policy.
• The full audit log and all analytics.

Removing the bot from your server does not delete anything - that is deliberate, so an accidental kick does not destroy your history.

What happens to a member's data

Ticket conversations live in Discord. Deleting a ticket removes its Discord channel; it does not remove transcript files already uploaded to another channel or downloaded by staff. Contact the server staff to remove those copies, and contact us to remove retained operational or legacy database records.

Where it is stored

In a PostgreSQL database inside the European Union (Frankfurt), operated by us. Nothing leaves it except calls to Discord, and to an AI provider on the servers that have turned that on.

Attachments

New transcript files link to Discord attachments without storing a local copy. These links can expire. If Discord removes the file, the link in a transcript stops resolving - we cannot restore it, and we never had it.

Discord's own data

TicketCrew reads only what it needs: channels and roles to configure itself, and messages inside ticket channels. It never reads other channels, and it holds no ability to act as any user.
